Accounts Payable Specialist

Sun Prairie location position available

The Accounts Payable will handle and review all accounts, maintaining all records, and providing administrative support for the branch office.

Duties:

  • Received approved invoices for payment, calculate due date and discount, key into system
  • Run daily “due” list and required checks
  • Match purchase orders with vendor invoices to ensure accuracy and data entry to systems
  • Prepares, writes all accounts payable checks, give checks to President to sign
  • Post into and balance accounts payable
  • Maintain all accounts payable files, including paid invoices log, filing invoices, updating/creating vendor number and information including credit dues
  • Run check reconciliation report and enter amounts to the proper yards
  • Creates and maintains recurring journal entries for payment of monthly/periodic payables, utilities, services, etc…
  • Perform bank reconciliations and related journal entries to balance statements
  • Monitors paperwork, invoices, correspondence and verbal communications with vendors
  • Assist with monthly closing procedures by ensuring bank reconciliations have been completed and done accurately
  • Researches and responds to all accounts payable inquiries promptly
  • Reviews, researches and resolves discrepancies on open purchase order report
  • Determines cash available and decides order and timing of payables for all companies
  • Keep track of all company credit card spending
  • All other duties as assigned

Qualifications:

  • High School Diploma or General Education Degree (GED)
  • Degree in Finance, Accounting, or Business (preferred)
  • 3 or more years field related experience
  • Strong customer services and communications skills
  • Proficient in MS Excel, Word, and Outlook
  • Valid Driver’s License

The Cabinetry and Countertop Sales  person will be a primary point of contact, ensuring customer’s specifications are executed to the highest standard. The role will specialize in planning and decorating kitchens and bathrooms, requiring the review and estimating of plans, proposals, basic mathematical knowledge, and other documentation to be analyzed and communicated on time to meet the customer’s needs.

Duties and Responsibilities:

  • Work collaboratively with clients to identify and meet project requirements by developing information related to design, material and product choices, specifications and estimated budget
  • Design and prepare plan layout as asked by clients via sketches and blueprints
  • Provide solutions to clients’ requests in design of cabinetry and countertops
  • Develop estimates of materials based on proposals from customers
  • Knowledgeable on all products, materials, and services to provide the most accurate information, and be able to suggest other desirable materials
  • Coordinate purchase of materials and sales add-ons
  • Be able to identify customer satisfaction and be a solution finder
  • Communicates with customers and builders to review estimates and materials, establishing a point of contact and maintaining professional customer relationships

Lumberyard-Yardman/Driver

Lumberyard-Yardman/Driver Job Summary: The Yardman/Driver will be engaged in loading, unloading, storing, transferring, and distributing materials such as lumber, millwork, sheet rock, insulation, and various other building materials in yard. The Yardman/Driver will be responsible for delivering materials to drive sites, inspecting and maintaining trucks, and being a positive representation of the company while traveling.

KEY RESPONSIBILITIES:

General

  • Work with Dispatch or store manager to keep up with the flow of the day, to keep the loads pulled and ready to be put on the trucks as they come back for their next runs.
  • Maintain control over and help walk-in or pick-up retail customers and business to business customers.
  • Receive and pull orders and credit returns with accuracy.
  • Load and unload trucks, bunking materials correctly
  • Ability to recognize customer satisfaction and dissatisfaction with materials being loaded and resolving customer problems.
  • Be able to perform general organization and housekeeping/landscaping of the yard
  • Be able to use power tools and saws safely, make rough cuts
  • Ability to communicate effectively to other store personnel, managers, and customers
  • Basic computer skills
  • Ability to follow procedures and make them more efficient
  • Work well independently and in a team environment

Inventory

  • Verifies that incoming materials are inspected, checked for damage, and counted for accuracy.
  • Monitor inventory levels to ensure the proper stock of materials is maintained, coordinate with and keep Buyer up to date on what materials need to be purchased
  • Complete physical up to date inventory of stock merchandise in a regular cycle basis and year-end counts.
  • Count and check the quality, quantity, and condition of all incoming and outgoing products.
  • Ensure incoming and outgoing deliveries are consistent with purchase orders in quantity and quality prior to accepting delivery or unloading products off trucks or prior to loading trucks to go out for delivery.
  • Report shortages and material issues to manager

Safety and Efficiency

  • Maintain and keep the yard safe for customers and employees by following guidelines to make sure forklifts/trucks are maintained and make use of all provided safety equipment.
  • Responsible for organized, safe and proper storage of all inventory.
  • Responsible for the proper unloading of vendor trucks as well as the safe and orderly storage of products received, such as whether or not windows, doors…etc needs to be hand unloaded or loaded or use forklift to unload or load plywood and lumber
  • Suggest changes in working conditions and use of equipment to increase efficiency.
  • Ensure the safe and orderly receipt, storage, and delivery of all special items as appropriate.
  • Comply with the safety and environmental programs, including DOT, OSHA, EPA and state and city ordinance requirements consistent with storage, handling, and transport of materials.

Other Requirements:

  • Valid Driver’s License, able to drive flatbed, CDL preferred

  • May have to help in the other two yards as necessary.
